The ideal candidate should have a Master's degree and 3 to 5 years of relevant experience.

Who is Smart? What is its daily action?

Smart is a company shared by thousands of people, organized as a cooperative. It allows them to carry out their work in very diverse fields, benefiting from a series of tools and services funded by the collective: management of declarations (invoicing, accounting, VAT), personalized support, legal assistance, training, or access to coworking spaces. Context

As part of the evolution of its organization, Smart is grouping all functions related to real estate and facilities within the General Affairs Directorate. This reorganization aims to strengthen the coherence of real estate and logistical activities, clarify responsibilities, improve the quality of service provided to teams and members, and build a shared framework for the use of spaces. The scope covers the management of the headquarters, the eight branches in Belgium, as well as the various locations operated by Smart. The position is part of an organizational transformation context where the General Affairs Directorate is being structured.

Mission

Attached to the General Affairs Directorate, you will lead the structuring of the new Real Estate & Facilities division to make it a readable, efficient support function adapted to the needs of teams and users. In this capacity, you are responsible for:
•Conducting a global diagnosis
•Familiarizing yourself with the analyses and work carried out by the various teams in charge of real estate and facilities;
•Analyzing the existing organization and current modes of operation;
•Understanding the uses of the different spaces and buildings;
•Identifying dysfunctions, overlapping areas, and unmet needs.

Defining a target organization

•Clarifying the scope, roles, and responsibilities of the division;
•Structuring real estate and facilities activities;
•Defining interfaces with other directorates and stakeholders;
•Formalizing processes and rules of operation;
•Mapping key processes;
•Defining associated responsibilities;
•Building a clear and shared usage framework for the spaces.

Developing a coherent real estate strategy

•Analyzing the occupancy and performance of different sites;
•Formulating recommendations regarding the acquisition, disposal, or optimization of assets;
•Contributing to the rationalization and enhancement of real estate assets.

Supporting the transformation

•Defining and implementing a change management approach;
•Supporting teams in adopting new modes of operation;
•Adjusting mechanisms based on feedback.

Desired profile

•Master's degree (management sciences, real estate, engineering, or equivalent);
•3 to 5 years minimum experience in organizational consulting, real estate management, facilities management, or organizational transformation;
•Proven experience in leading transformation projects and change management;
•Good understanding of issues related to workspaces, shared places, and their governance;
•Knowledge of the social economy, cooperative sector, or third places is an asset;
•Proficiency in French; knowledge of English is desired.

Organization of the mission
